If you’ve ever received a call asking ‘Where are we on fixing the _____ “ you’ll understand the value of having the answer immediately available. A simple spreadsheet can provide a quick reference that can be used for answering that question, as well as planning, budgeting, tracking and reporting status and outcomes.

The template we’ve created offers a starting point that can be customized with your departments and maintenance schedule. You can build separate workbooks by department that list each task in detail and then a high-level view by property that lists department needs to share with a family office or principal. As an added level of quick review, adding color coding the status helps to get to that information quickly to answer questions, or remember to ask about things that need approval. Keep it updated throughout the year as part of your record of work that you accomplished.
